The choice is simple: do you want a live video to appear when you start sending the feed, or do you want viewers to have a YouTube event page before the show? Both workflows can be right. The mistake is creating a scheduled event, then forgetting to connect ApexStream to it.
Going live now
If you leave the Event dropdown empty on the YouTube channel’s Edit screen, ApexStream creates a new live broadcast when you start Web Studio or your external encoder. This is the quick path for an informal session, a regular stream with an established audience, or a show whose start time is not worth promoting in advance.
It also means there is no scheduled waiting room for viewers to find ahead of time. They learn about the broadcast through the platform’s notification and feed behavior after the broadcast exists. If your audience is already used to your schedule, that may be all you need.
What a scheduled event adds
A scheduled YouTube event gives you a persistent page before the live feed begins. You can share that URL in a newsletter, social post, or direct message. Viewers can use the event page to set a reminder, and the pre-show chat gives them a place to gather before the program starts.
That extra time is valuable for a planned interview, product launch, or community session. You can promote one specific page instead of asking people to find your channel at a particular hour. The event also gives the audience a clear expectation of what is coming.
Connect the event in ApexStream
Create the upcoming event in YouTube Studio first. Then open the connected YouTube destination in ApexStream and find the Event dropdown on its Edit screen. Select the event you want ApexStream to use.
That selection tells the service to route the incoming feed into the existing YouTube event rather than create a new broadcast. If you skip it, the scheduled page can remain empty while ApexStream starts a separate live video. Add the Event selection to the same pre-flight checklist as the title, privacy setting, and destination toggle.
Choose by show format
- Use a scheduled event when the time matters, you are promoting the show ahead of time, or a pre-show chat will help the audience gather.
- Go live now when the stream is spontaneous, frequent, or likely to move from the announced time.
A scheduled page is only helpful if you arrive close to the advertised start. If you know the show will begin later, use the countdown in Web Studio to give viewers a clear runway. Do not open an event hours early and leave a silent room without an explanation.
Keep the event details aligned
Check that the YouTube title and description in ApexStream match the event you created. The YouTube Edit screen accepts title, description, and privacy choices, so confirm the final values before you activate the destination. A mismatch can make a viewer wonder whether they opened the right show.
For a rehearsal, select Unlisted instead of Public and keep the other destinations inactive. For the real broadcast, confirm the correct event is selected and that the channel is ready before starting the encoder.
The decision is not about which button is more professional. It is about whether the audience needs a place to find the show before the first frame. Pick the workflow that matches your promise, then verify the Event dropdown before you go live.
